Administrative Assistant I

in Los Angeles County with the following duties:

Key Responsibilities:

In accordance with established procedures, perform a variety of routine and non-routine administrative, clerical, and data collection tasks for supervisorMaintain executive appointment schedule by planning and scheduling meetings, conferences, teleconferences.Perform various administrative, clerical, data collection, data entry, and report writing tasksReceive direction from immediate supervisor in completing non-routine assignmentsScan, fax and bind documents, reports, and proposals as requiredMay develop new reports or revise existing reports, as directed. Such reports may be in spreadsheet or graphical formats, or narrative-style word processingDistribute reports as directed by immediate supervisorOriginate correspondence and reports not requiring the personal attention of immediate supervisorPrepare general correspondence and maintains general files.Answer telephone, take and relay messages, screen callers and direct calls accordinglyReceive, sort, and distribute mailMay establish and maintain records of equipment, including a log of equipment service dates. May initiate requests for service.Capable of planning office staffing space, collaborating directly with department Sr. staff to plan and execute all aspect of office expansion/internal moves to assure spacing for all staff.May coordinate physical space requirements for the supervisor. Initiates requests for computers and telephones as appropriateMay represent immediate supervisor at project-related or other meetings as directedContribute to the advancement of TDG's goals through commitment to productive collaboration with all stakeholdersPerform other responsibilities associated with this position as may be appropriateRequirements

Minimum Required Qualifications:

Proficiency in Microsoft Office Suite of softwareDemonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database softwareExperience in creating PowerPoint presentationsGood written and oral communication, organizational, and interpersonal skillsSelf-starter, multi-taskerAbility to work in a high volume, dynamic team environmentProven record of accomplishments of office administrationFlexible attitude to changing conditionsAccountable and dependable to follow through with tasks/projectHandles all matters in strict confidentialitySpecial projects as neededMaybe required to work past regular work shifts as neededEducation and Training Qualifications:

High school diploma (or equivalent)5+ years of relevant work experience, preferably 10 years of experienceBenefits
