Lakeshore Talent is partnering with a client who has a need for an Administrative Assistant, for an Oil and Gas company based out of Denver, Colorado. This is a hybrid position and pays $29 - $43 per hour (depending on experience). This is a 6 month contract to start with the goal to go permanent for the right fit.Background check and drug screen is required upon hire.This would be supporting a C-level executive and their direct reports in calendar management, booking travel and completing expenses and other duties listed below.Job Description:The Administrative Assistant is responsible for efficiently carrying out administrative duties, providing support, and facilitating effective operations within the organization. This role requires a broad knowledge of operational procedures and tools and operates under limited supervision in routine situations. The Administrative Assistant also guides and trains junior employees, addressing problems that are generally non-routine and require some analysis to understand. Additionally, this position demonstrates integrity, accountability, and transparency while upholding our company standards, values, and culture.Job Duties:Heavy calendar management, booking domestic and international travel and completing expenses using Concur.Schedule and organize activities such as meetings, travel, transportation, and web conferences, including necessary communications and logistics. Set up and tear down meeting rooms and organize catering as required.Manage and maintain files, records, agreements, contracts, and correspondence in both hard and digital formats.Process invoices and prepare expense reports.Assist with maintaining the Corporate Calendar and coordinate recurring meetings led by Leadership Team members, taking meeting minutes that are technical and/or confidential in nature and transcribing them into final form to ensure accurate documentation.Handle confidential information with the utmost discretion and professionalism.Review and help prepare various documents, reports, and presentations as requested, ensuring accuracy, consistency, and adherence to company guidelines.Conduct regular audits of documents, files, and databases to ensure compliance with internal policies.Perform other duties as required.Qualifications:Minimum of 5 years of administrative assistant experience supporting C-level executives in calendar management, booking domestic and international travel and completing expenses.High school diploma or GED required.Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.Experience in assisting with project coordination and management, including tracking deadlines and deliverables.Proficient in Microsoft Office and job-related applications; uses insights from digital tools to improve performance.Experience using Concur is a plus.Ability to thrive in a dynamic, fast-paced environment.Ability to work independently and as part of a team.Demonstrated interpersonal, collaboration, and communication skills.Advanced attention to detail, organization, and prioritization skills.Demonstrated cognitive and problem-solving skills.Growth mindset with a demonstrated ability to innovate, embrace change, and demonstrate grit.Oil and Gas experience preferred.
