The Machine Learning Department (MLD) at Carnegie Mellon University is a leading hub for research and education in artificial intelligence and machine learning. It focuses on developing innovative algorithms and models to address complex problems in diverse fields such as robotics, healthcare, and finance. The department offers a range of undergraduate and graduate programs, fostering a collaborative environment that bridges theoretical research and practical applications. Faculty and students frequently collaborate with industry and other academic disciplines to push the boundaries of what is possible with machine learning.
We are seeking an Administrative Assistant to provide general office management support. In this role, you will coordinate administrative aspects of programs and projects, draft correspondence, and reports, provide detailed information to various partners, and serve as a liaison with campus departments to ensure smooth operations.Core Responsibilities: Coordinates various administrative duties or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements, etc. Provides calendar management for assigned faculty, and processes confidential information and correspondence in a discreet and professional manner. Handles office equipment and supply levels, handling room reservations, and meeting support, responding directly to correspondence and inquiries. Assists with purchasing, expense/travel reimbursements and purchasing card verifications. Serves as initial contact and liaison, providing information/coordination via phone or in person with other university departments an outside organizations. Assists in the research, preparation, and processing of information. Helps department with operational improvements, recommends changes and participates in department improvement projects and processes. Performs other duties as assigned.
