The Assistant Event Coordinator will play a key role in the planning, organization, and execution of various events. This position is ideal for a highly organized and detail-oriented individual with a passion for event management. You will assist in coordinating all aspects of events, from logistics and vendor management to guest communication and on-site support, ensuring a seamless and memorable experience for clients and attendees.Key Responsibilities:Event Planning Support:Assist in the development of event concepts, themes, and schedules.Coordinate with clients to gather event requirements and preferences.Help create event timelines, checklists, and project plans.
Vendor and Venue Coordination:Research and liaise with vendors (catering, audio-visual, décor, etc.) to gather quotes and negotiate contracts.Assist in venue selection and manage communication with venue staff.Coordinate delivery and setup of event equipment and décor items.
Marketing and Communication:Assist in creating event promotional materials, including social media content, email campaigns, and flyers.Communicate event details to attendees, speakers, and stakeholders.Respond to inquiries and provide exceptional customer service.
On-Site Event Support:Assist with the setup, execution, and breakdown of events.Serve as a point of contact for vendors, staff, and attendees during events.Monitor event activities to ensure compliance with timelines and resolve any issues promptly.
Administrative Tasks:Maintain detailed event files, documents, and budgets.Track and report on event expenses and assist with financial reconciliations.Conduct post-event evaluations and assist in compiling feedback for future improvements.
Qualifications:Strong organizational and multitasking skills with attention to detail.Excellent communication and interpersonal skills.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software (e.g., Cvent, Eventbrite).Ability to work flexible hours, including evenings and weekends, as needed.Problem-solving skills and the ability to work under pressure.
