Job Overview:We are seeking a highly organized and energetic
Assistant Event Coordinator
to join our team. The ideal candidate will support the planning and execution of a variety of events, including corporate functions, conferences, social gatherings, and charity events. You will work closely with the Event Manager to ensure every detail is meticulously planned and every guest has a memorable experience.
Key Responsibilities:
Event Planning Support:
Assist in the coordination and planning of events, including logistics, vendor management, and on-site execution.
Collaborate with clients to understand event objectives and requirements.
Help develop event timelines, checklists, and budgets.
Vendor and Client Liaison:
Communicate with vendors, suppliers, and venues to negotiate contracts and coordinate event logistics.
Assist with client meetings, taking detailed notes and helping to translate client needs into actionable tasks.
Ensure timely follow-up with vendors and clients.
On-Site Event Support:
Assist in event setup, breakdown, and on-site management.
Coordinate with volunteers, staff, and vendors during the event.
Troubleshoot any issues that arise during the event to ensure a smooth experience for all participants.
Administrative Duties:
Maintain detailed records of all event-related documents, including contracts, invoices, and contact lists.
Update and track event budgets and expenses.
Prepare post-event reports and gather feedback to identify areas for improvement.
Marketing and Promotion:
Support the marketing team with event promotions, including social media updates, email campaigns, and website updates.
Help create and distribute event materials such as invitations, agendas, and brochures.
Qualifications:
Strong organizational skills with keen attention to detail.
Excellent interpersonal and communication skills.
Ability to work under pressure and handle multiple tasks simultaneously.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and event management software (e.g., Eventbrite, Cvent).
Creative problem-solving skills and a proactive attitude.
