Job Description
We are offering a contract position for an Administrative Assistant in Chester, Pennsylvania. In this role, you will be vital to the operations of a housing non-profit organization, where you will handle various administrative tasks ranging from tenant communication to database management.
Responsibilities:
• Manage and update tenant records, ensuring accuracy at all times
• Conduct interviews with tenants for annual and interim recertifications and re-examinations
• Handle all forms of tenant communication such as answering phone calls and responding to emails
• Prepare and send letters to tenants, adhering to proper business formatting guidelines
• Obtain all necessary tenant certifications, authorizations, and 3rd party verifications
• Manage housing database and spreadsheet, ensuring all data entries are accurate and up to date
• Notify tenants of any changes in rent in a timely manner
• Keep tenant files updated, organized, and easily accessible
• Generate reports as needed
• Perform other related tasks as required, including scheduling appointments and managing tenant leases.
• Minimum of 2+ years' experience as an Administrative Assistant or in a similar role
• Proficiency in answering inbound calls in a detail-oriented manner
• Strong customer service skills with a focus on delivering high-quality service
• Experience in data entry with a high level of accuracy
• Ability to handle email correspondence in a timely manner
• Proficiency in Microsoft Excel and Microsoft Word
• Ability to schedule appointments and manage calendars effectively
• Experience in property management is a plus
• Familiarity with tenant leases and related documents
