The Job:
  • Handle a high volume of phone calls, written correspondence, and emails efficiently and effectively.
  • Build and maintain strong relationships at all levels of the organization, including regular interaction with company executives, members of the Board of Directors, and high-profile external stakeholders.
  • Coordinate business travel arrangements, taking into account individual preferences and corporate travel/expense guidelines, utilizing tools like Concur.
  • Expense Management: Manage and track expense reports and receipts, ensuring the regular reconciliation of corporate credit card accounts.
  • Meeting and Event Coordination: Coordinate meetings and events, including agenda preparation, materials creation, presentations, minute-taking when necessary, and diligent follow-up on action items.
  • Event Planning: Facilitate event planning for both off-site and on-premises events, covering aspects such as communications, venue selection, logistics, travel, hospitality, and technology requirements.
  • Task Prioritization: Prioritize conflicting needs, expedite critical matters, and ensure timely follow-up on action items and next steps.
  • Collaboration: Work seamlessly with other team members to ensure smooth coordination of tasks and duties.

About you:
  • You're a pro at all things Google Workspace, Notion, Asana, monday.com etc.
  • You have a working knowledge of Zoom, WebEx, GlobalMeet, Oracle, and Slack
  • You have 8+ Years of Powerhouse Support: You're no stranger to directly supporting a C-level executive of an expanding tech company
  • You can effectively "push back" when needed, all while remaining open to valuable feedback and learning opportunities
  • You're a paragon of discretion, able to handle sensitive information with grace.
  • Your written English is a masterpiece, and your communication skills exude confidence and precision.
  • Bachelor's Degree: Your academic prowess is the cherry on top.
