We are seeking a diligent and effective Executive Assistant to join our healthcare team located in Harwichport, Massachusetts. As an Executive Assistant, your primary role will be to handle administrative duties, ensuring seamless operations within our team. This includes managing calendar schedules for the Board of Directors, overseeing meetings, and coordinating travel arrangements.
Responsibilities:
• Organize and coordinate schedules for the Board of Directors, ensuring efficient use of time.
• Display superior communication skills to facilitate effective correspondence within and outside the team.
• Manage data entry tasks, particularly using software applications such as Excel and PowerPoint.
• Supervise the scheduling and management of meetings to boost team productivity.
• Record accurate meeting minutes, documenting important discussions and decisions.
• Plan travel itineraries, including transportation and accommodation, ensuring smooth and hassle-free travel experiences for team members.
• Use CRM and Kronos Timekeeping System for effective time management and customer relationship management.
• Conduct conference calls, ensuring effective communication and collaboration with remote team members and stakeholders.
• Oversee all forms of correspondence, ensuring prompt and effective communication within and outside the team.• Proven experience as an Executive Assistant in the Healthcare, Hospitals, or Social Assistance industry
• Proficiency in Customer Relationship Management (CRM) software
• Familiarity with the Kronos Timekeeping System
• Strong skills in calendar management and scheduling
• Excellent communication skills, both written and verbal
• Experience in handling and coordinating conference calls
• Ability to manage and prioritize correspondence efficiently
• Proficient in Microsoft Office Suites including Word, Excel, and PowerPoint
• Experience in managing travel arrangements for executives including booking flights, accommodations, and arranging ground transportation.
