We are offering a long term contract employment opportunity for an Executive Assistant in Lexington, Massachusetts. As a key member of our team in the financial services industry, you will be tasked with maintaining executive schedules, managing communications, and handling administrative tasks to ensure smooth and efficient business operations.
Responsibilities:
• Managing and maintaining executive schedules, including scheduling and organizing meetings through Cisco Webex
• Utilizing ADP for financial services tasks, ensuring all procedures are conducted efficiently and accurately
• Handling travel arrangements and expense reports using Concur
• Operating CRM software for improved customer relationships and interactions
• Ensuring accurate timekeeping records using the Kronos Timekeeping System
• Managing detail-oriented correspondence and communication on behalf of the executive team
• Coordinating conference calls, ensuring all participants have the necessary information
• Utilizing the 'About Time' software for efficient time management
• Acting as the key point of contact for internal and external stakeholders
• Overseeing and managing the executive team's calendar to ensure optimal time allocation.• Proficiency in ADP - Financial Services is required
• Must have experience with Cisco Webex Meetings
• Knowledge of Concur is necessary
• Proficiency in using CRM for customer management is important
• Familiarity with the Kronos Timekeeping System is required
• Should have experience with the About Time software
• Strong calendar management skills are necessary
• Excellent communication skills, both verbal and written, are required
• Must have experience in managing and organizing conference calls
• Ability to handle business correspondence professionally and effectively is a must
