Description We are in the search for an Administrative Assistant to join the team of a non-profit organization, located in Honolulu, Hawaii. This Administrative Assistant role offers a contract-to-permanent employment opportunity. As an Administrative Assistant, you will be tasked with providing administrative support to the office operations, managing customer calls, and ensuring smooth office operations. Responsibilities: - Deliver administrative support for daily office operations - Answer telephone calls and provide resources to callers - Maintain a database of local resource directory - Operate standard office equipment, including printers, fax machines, and computers - Welcome, receive, and assist visitors and callers - Maintain punctuality and reliability in office attendance - Prepare documents for formal processing, including invoices and original documents for mailing - Provide support in preparation of meeting agendas, and take notes during in-house meetings - Assist in the general management of the center, including travel arrangements, office purchases, and other related tasks - Ensure the upkeep and safety of facilities by maintaining neat work areas and reporting any issues - Participate in regularly scheduled staff meetings - Perform other relevant duties as assigned. Requirements - Minimum of 2 years' experience in an administrative role - Proficiency in using basic office equipment such as printers, scanners, and fax machines - Strong basic office skills including organization, time management, and multitasking - Experience in answering inbound calls and transferring calls to appropriate departments or individuals - Ability to perform receptionist duties such as greeting visitors, taking messages, and managing appointments - Proven skills in administrative assistance including scheduling, correspondence, and record keeping - Experience in copying, filing, and managing documents efficiently - Ability to set up and clean up conference rooms for meetings and events - Proficiency in using Zoom for virtual meetings and webinars - Strong knowledge of Microsoft Office Suites including Word, Excel, PowerPoint, and Outlook - Ability to handle sensitive information with discretion and maintain confidentiality - Strong communication skills, both verbal and written - Ability to work effectively both independently and as part of a team - Strong attention to detail and problem-solving skills - Willingness to learn and adapt to new processes and software as required.
