OFFICE MANAGEMENT
Coordinates various office support services, including purchasing and facilities management, which may include the following:
Supervises office administrative staff
Trains and coaches employees
Establishes cost-effective vendor relationships
Resolves issues and complaints
Maintains office equipment
Keeping up inventory of office supplies
Updates and maintains internal databases
Sort mail, filing, shipping packages
Oversees shipping/receiving and inventory
Answers phones
Maintains general office upkeep and cleanliness
EXECUTIVE ASSISTANT
Performs administrative tasks for senior management
Acts as a liaison between executives and clients/customers
Arranges travel and meetings
Tracking time to projects
Screens calls
Handles executive correspondence
Prepares reports and financial data
Records meeting minutes
BOOKKEEPER
Works with Accounts Payable, Accounts Receivable, Payroll, Cash, Inventory and Purchasing
Reconciles expense reports
Monitors bank transactions
Other bookkeeping tasks
Supervises the work of accounting clerk(s)
QUALIFICATIONS
College Graduate preferred
Professional in appearance and attitude
Ability to prioritize, organized and multiple-task-oriented
Strong leader with excellent written, verbal and interpersonal communication skills
Ability to interact with all levels of management and clientele
Excellent customer relations skills
Project coordination expertise
Practical knowledge of Accounts Payable, Accounts
Solid working knowledge of MS Word, Excel, Outlook, Power Point, and QuickBooks and the ability to train others on system usage
Relies on experience and judgment to plan and accomplish goals
