About This OpportunityAs an Executive Assistant, you will be responsible for providing high-level administrative support to the Chief Product Officer and Chief Technology Officer. This position will assist with travel planning, expense reports, meeting preparation and facilitation, as well as other administrative tasks. As we continue to evolve and live our Orion values, we are looking for someone to grow with us.For External CandidatesCandidates must work in-office at one of the following locations for at least 3 days per week: Omaha, NE; Sacramento, CA; Hebron, KY.For Internal CandidatesAll internal employees, regardless of their current work arrangement (remote or in-office), are encouraged to apply.In This Role, You'll Get ToPlan and coordinate internal and external meetings including arrangements for flight, hotel, location, meeting agendas, meals, calendar coordination, and activities for attendees.Prepare and submit expense reports via Workday.Send notification to managers of Orion employee birthdays and anniversary dates.Send cards, gifts, flowers, etc., as needed.Stock meeting room refrigerators and kitchen area paper products in preparation for onsite meetings.Support company Executive management team by coordinating calendar, booking travel arrangements and general administrative tasks.Prepare agendas prior to meetings as well as help coordinate follow-ups via Notion or comparable systems.Perform general administrative duties including filing, typing, faxing, copying, scanning, and mailing to support the Executive Management team.Attend meetings for the purpose of taking meeting minutes and follow-up on key take-away points from meetings.Assist with Orion Home Office Visits including reserving guest hotel rooms and coordinating any meals in the office.We're Looking For Talent WhoHas a strong understanding of project management tools, communication platforms, and other digital tools (Jira, Slack, Notion, preferred).Has exceptional communication skills.Has exceptional calendar management and travel management skills.Possesses a minimum of a high school diploma.Has a minimum of 5 years of administrative or clerical experience.Preferably has a solid understanding of tech terminology, tools, and systems commonly used by a CTO/CPO.Preferably has experience working with operations teams and/or within the Financial Services industry.Preferably has experience coordinating event logistics.Obtains Orion Industry Certification.Owns and manages relationships with stakeholders directly and works effectively with people at all levels in an organization.Salary Range$22.56 - $32.73The pay listed in this posting indicates the estimated pay at the time of this posting; however, it may vary depending on geographic location, job-related knowledge, skills, and experience.
