Job Details

The Sr. Payroll Specialist will be responsible for accurately processing the payroll for our employees in accordance with company policies and government regulations

The role requires a strong understanding of payroll procedures and regulations, excellent mathematical skills, ability to process payroll in a timely and accurately and maintain confidentiality regarding the information

Collect approved time and attendance information from supervisors, review and verify for accuracy on a weekly basis

Review and verify commissions, differential pay, variable pay, and any other special pay each week

Calculate and verify pay calculations, benefit deductions, tax computations, garnishments deductions, and child support deductions on a weekly basis

Process direct deposit uploads to bank and manual checks

Upload payroll entries to the general ledger

Process pre-notes for new direct deposit requests

Ensure compliance with Federal and State payroll tax regulations and reporting

Assist with wage and employment verifications

Manage withholding and payment of garnishments, child support and other court ordered payroll deductions

Distribute payroll tax information timely to appropriate personnel for payment

Respond to payroll related questions from employees and managers

Investigate and resolve any discrepancies in payroll

Provide training to managers and employees on time and attendance and employee self-service software

Collect, verify and prepare year end schedule of PTO pay out amounts, personal mileage on corporate vehicles, corporate paid gym dues and other noncash income for inclusion in payroll

Assist with payroll system maintenance and set up

Work with accounting and payroll providers to ensure proper filing of quarterly and annual payroll reports including Form 941, Form 940, W-2s as well as state filings

Set up new hire employee files and update employee files as necessary

Prepare information for annual worker’s compensation audit

Generate and distribute payroll reports to management as needed

Stay up-to-date regarding changes in payroll laws, regulations and best practices

Collaborate with HR and accounting staff to ensure payroll data integrity and accuracy

Assist with special projects and perform other duties as assigned

Qualifications

We are seeking someone who has a strong attention to detail, can consistently produce accurate work and works efficiently in a fast-paced environment

Proficient using automated payroll processing software

Comprehensive knowledge of payroll tax laws and regulations including IRS, ERISA, FLSA, etc

Proficient in Microsoft Office, especially Excel

Strong numerical aptitude and attention to detail

High integrity and ethics

Ability to maintain a high degree of professionalism, confidentiality, and discretion

Proven ability to provide exceptional customer service to internal and external customers

Excellent communication skills, both verbal and written

Proven ability to work efficiently and effectively as well as excellent organizational skills

Ability to collaborate and build relationships across all levels of the organization and with individuals from a diverse background

Ability to prioritize and multitask effectively

Ability to collect, analyze data and articulate sound and reliable conclusions
