Job Summary
A Wider Circle seeks a detail-oriented Development Coordinator to join its dynamic Development team at a critical time in its history. The primary focus of this role is to ensure the proper record keeping of all financial contributions to A Wider Circle, tracking stewardship outreach and outcomes, and supporting the successful functioning of the Development team as a whole.
This position will report to the Director of Development and is based in Silver Spring, MD.
Essential Responsibilities
Gift Processing
Ensures accurate and timely processing of all financial gifts to A Wider Circle by:
Working with finance team to open, sort, and scan check donation documentation
Upload batches of new checks
Download the online gift report and upload it to the donor database
Review failed transactions and correspond with individual donor
Entering gift and constituent information into the donor database system including online donations, checks, stocks, and electronic fund transfers in a timely manner
Ensuring gifts are accurately entered according to organizational protocols
Provide weekly report of gifts processed to Development team
Record thank you videos for online donations from $500 - 999 weekly.
In coordination with Development and Finance teams, ensures pledge payments are received according to gift installment plans by pulling regular reports on pledge balances and issuing invoices
Donor Stewardship
Ensure accurate and timely stewardship of donors to A Wider Circle by:
Preparing batches of acknowledgement letters, including pulling reports of new gifts, cleaning mailing lists, and completing mail merges
Packaging acknowledgement letters for mailing, including printing, packaging, and mailing letters, as well as coordinating with mail house for large batch mailings
Generating and managing personalized donor thank yous for Development team use
Respond to donor inquiries and questions. Including:
Online giving issues, expired cards, etc
Missing tax receipts
Removal from lists and marking "do not email"
Help with the donation processing
Database Maintenance
Ensures the cleanliness of donor database by regularly updating constituent contact information and deduplicating records
Updates subscription status based on changes made in email marketing software
Review and update donor database entries for accuracy
Upload ACH donations to donor database after downloading workplace giving reports
Mark in donor database addresses - both home and email that are no longer valid and reach out to donor to identify new contact details
Department Coordination and Support
Supports coordination of donor mailings, ensuring timely and accurate delivery of appeals and acquisitions, as well as acknowledgement letters.
Provides other administrative support to the Development team including pulling reports from the donor database
Coordinate with Volunteer team to speak with large volunteer groups - be they corporate or otherwise to talk about fundraising needs and opportunities
Donor Research/Prospecting
Conduct donor research on prospective supporters
Track outreach and outcomes related to prospecting
Support outreach efforts to prospective donors
Liaise for partial proceed events

Knowledge & Skills:
Required
High School Diploma or Equivalent
At least three years of work experience, preferably in administrative support, fundraising, or database management
Experience working with Customer Relations Management (CRM) software such as Raiser's Edge, Salesforce, etc.
Exceptional attention to detail
Computer literacy, including proficiency with Microsoft Office suite and Google Workspace
Strong organizational skills
Preferred
Experience in customer service or donor relations
Experience working with Network for Good
Working knowledge of Little Green Light
Experience working in a nonprofit environment
The position has a potential for a hybrid work arrangement of 40% off site and 60% on site once the 90 probation period has been completed.
Additional eligibility requirements:
Work authorization/security clearance requirements
Must be authorized to work in the United States
Work environment
Will work in an office setting.
Physical demands
Prolonged periods of sitting and talking on the phone.
