Join our team as an Administrative Assistant to provide crucial support to the US Vyndamax Team. This role involves managing calendars, coordinating meetings, handling travel arrangements, and assisting with various administrative tasks. The ideal candidate will possess exceptional organizational skills, the ability to resolve conflicts diplomatically, and a proactive approach to problem-solving.
Responsibilities:
- Provide administrative support to the US Vyndamax Team, including complex calendar management, travel and expense report support.
- Schedule and coordinate 1:1s and department meetings, as needed, including some meeting management and logistics.
- Anticipate and proactively resolve conflicts, using diplomacy to address problems.
- Work closely with outside vendors, providing support with meeting scheduling and office space as needed.
- Manage Purchase Orders through Ariba, working with the budget coordinator to track payment of invoices as requested.
- Support various marketing projects and initiatives as needed.
- Collaborate with Administrative Assistants to ensure coverage within the group and manage workflow.
Qualifications:
- Associate's degree required.
- A minimum of 1+ years of relevant experience in administration.
- Proficient with Microsoft Word, PowerPoint, and Excel (including Pivot Tables and VLOOKUPs).
Rate/Schedule:
- $20-$23/hr.
- This is a hybrid position, requiring 2+ days onsite per week; candidates must be local to the New York City area.
