Description of Work

This position is being reposted. Previous candidates need to reapply in order to be considered.The DSB Career and Training Center (CTC) is a dynamic environment which continuously grows and evolves to meet the needs of the population served. In this setting, residentially based services are provided to individuals who are visually impaired, blind or deafblind to assist them with achieving their goals of independence, education and employment. Instruction and/or residential services are provided 24 hours a day, five to seven days a week.

Most individuals who participate in services are referred by Vocational Rehabilitation Counselors and need comprehensive training in order to succeed with their planned goals. The CTC provides a wide range of services to assist eligible individuals adapt to vision loss, improve their confidence, and gain skills which enable them to obtain employment in competitive, integrated environments. Services tailored to this specific population include: assessments of current functioning, interests, aptitudes and visual potential; daily instruction according to individualized schedules; health and wellness coaching, guidance and counseling, recreational therapy, as well as evening activities onsite and in the community. Instruction is primarily provided in-person. Remote instruction is also provided when needed and when feasible. The DSB Career and Training Center follows current CDC and DHHS guidelines regarding COVID-19 precautions.

The Administrative Specialist is often the first point of contact for callers and visitors. The individual in this position interacts respectfully with diverse populations including those who are receiving services, Center staff, non-Center DSB staff, partner agencies and visitors. This role is part of an admin team which works together to make sure administrative needs for the Center are met so services can be effectively provided to participants.Key responsibilities of this position include:• Respectfully greet participants and visitors to the building• Determine the needs of participants and visitors in-person or by phone and appropriately direct them to internal and external resources• Engage staff in a collaborative and supportive manner• Crosstrain in other administrative staff duties so that the so that administrative needs for the Center are consistently met• Serve as the primary support staff for the Center Director, assisting with composing and proofreading communications as well as with organizing information and data• Communicate clearly and concisely, both orally and in writing, so that staff receive pertinent information as requested by the Center Director or other management• Serve as a point of contact for maintenance and housekeeping concerns• Track the submission of reports on service provision• Compile accurate monthly reports in MS Excel• Write letters and coordinating mailings• Troubleshoot office equipment• Create authorizations for payments in the case management system• Scan documents according to protocols related to PII and PHI• Manage and organize electronic and paper files• Serve as a point of contact for the building in case of an emerge
